Inventory Transfer Between Different Store Locations

1. Introduction


The inventory transfer feature enables you to easily transfer inventory from one store location to another. You can manage and track inventory transfers in a centralized dashboard for easy inventory management.


2. Create transfer


2.1 To start transfer, log in to your EasyStore’s admin panel > Products > Transfers > Create transfer.



2.2 Select transfer origin and destination from your existing locations in the drop-down list.


📌 Reminder: Only locations that “track inventory independently” can transfer inventory. Refer this guide.



2.3 Select the products that want to transfer > Confirm.


📌 Reminder: Only products that let 'EasyStore tracks inventory of this product' can transfer inventory.



2.4 Fill in the transfer quantity for each item.



2.5 Fill in the shipment and additional details at the right hand side, these are optional during transfer creation, you can add later by editing transfer.



2.6 Once done, save the transfer as draft.


💡 Tips: By saving transfer as draft:


  • It just prepare the transfer list and will not deduct item quantity from origin location yet
  • You can still make changes to the transfer



2.7 The transfer is now saved as Draft.



3. Start transfer


3.1 Once transfer has been arranged, you may come back to the transfer click Start transfer > Confirm.


📌 Reminder: Once transfer is started:


  • Item quantity will be deducted from origin destination
  • You won’t be able to edit the transfer



3.2 The transfer is now updated to Transferring.



📌 Note:


As the items are still in-transit (transferring) and have not arrived, the item quantity is not added into destination location yet.


To check if there’s any on-going transfer for an item, you can go to it’s product editing page > look under Incoming tab.



3.3 You may click Print inventory transfer to print the transfer list.



4. Receive transfer


4.1 When items arrive at the destination location, click on Receive transfer for next step.



4.2 Adjust the accept / reject quantity for each item.

4.3 If the item is Accepted, the filled quantity will be deducted from Incoming and added into destination location.

4.4 If the item is Rejected, you need to choose restock option:


  • If ticked — the items will be deducted from Incoming and added back into the origin location
  • If unticked — the items will be deducted from Incoming only



4.5 If items are partially received, you still can continue receive the remaining items.



4.6 Once all items have been received / rejected, the transfer status will auto update to completed.



5. About delete and cancel transfer


5.1 About delete transfer


  • By saving transfer as draft, you can still delete the transfer.
  • Since creating transfer as draft will not deduct item quantity from origin location yet, deleting transfer will not affect any stock.


5.2 About cancel transfer


  • Once transfer is started, you won’t be able to delete the transfer, only can cancel.
  • If transfer is cancelled, the items will be deducted from Incoming and added back into the origin location.
