1. Enable EasyStore Point of Sale Channel



EasyStore POS helps you to track orders and inventory across your retail location, and any other online sales channels by sync with EasyStore’s admin panel. You can create and manage all orders via EasyStore app. You will need to install EasyStore Mobile app on your device to use the mPOS.

Step 1 : Login to EasyStore Admin Panel > Channels > Point of Sale > Enable


Step 2: Once Enable, you can click "View Point of Sale"




2. Before Getting Started: Open Shift & Record Cash In Transactions



POS Shift Management allows store owners to keep track of their cashiers' shifts, including opening, closing, and all transactions made during a shift. This feature helps to ensure that all cash transactions are recorded accurately and that any discrepancies can be identified and resolved quickly.


Open Shift


Step 1: Go to  EasyStore’s admin panel > Channels > Point Of Sale > View Point Of Sale > click on the menu on top left



Step 2: Click Open Shift



Step 3: Key in your Starting Cash Amount > Open Shift



Cash In

Step 1: Click on Shift to record any cash in or cash out transactions
(Exp: A staff withdraws cash from the cash drawer to purchase items for the store's operations).



💡 Tips: You can also check the current status of the cash drawer.



During Shift


You can check the cash flow during the operation hour.

Step 1: Go to  EasyStore’s admin panel > Channels > Point Of Sale > View Point Of Sale > click on the menu on top left

Step 2: Click Shift to check the Shift Summary



3.Creating a POS Order



Step 1: Add product to Cart

Search the product name on the search bar > click on the product to add it into the cart
OR
Scan product barcode using the barcode scanner > the product added to cart automatically



| 💡 Add custom items

If your walk-in customer wan to order any customised item, you can add custom items into the POS system cart and checkout too.

Step 2: Manage cart


After added item to cart, click cart button at bottom to manage and review cart details



2.1 Add discount to item


Tap on the product that wanna add discount > add discount

📌This discount will only apply to the selected item


2.2 Add discount to order


Tap on the Add discount button at bottom of cart to add discount to order. Or, add discount to order via the More actions button

📌 This discount will apply to order subtotal



Step 3: Add customer


Tap on Add customer button in adding customer to the cart



3.1 Add new customer


Collect any one of the following field to add new customer

Phone number of the customer

Email address of the customer


💡Tick Send invitation SMS / Email option to customer for their account activation

3.2 Add existing customer


In search bar, enter customer email/name/phone number to search existing customer

Or, add existing customer by scanning customer membership ID. Membership ID can be found in Shopping app > under profile



3.3 Detailed customer overview in cart page


Access to customer overview section by tap on customer’s name



Based on the overview, you are ready to understand more on your customer’s preference and purchasing behaviour to upsell them by getting to know:

Membership tier (Progress bar showing how much spending left to upgrade next tier)
Online in-cart items (Item that customer added to cart in online website)
Points Earned (Points that customer has earned in the account)
Credit Earned (Credit that customer has earned in the account)
Order History (The past orders that customer has purchased with you)
Bought items (Items that customer has purchased before)


Step 4: Apply points, credits and voucher


A details of any points, credits and voucher that customer has earned and reply can be found at the bottom section of cart page



4.1 Apply points or credit


Tap on the Points button to apply points

💡Adjust and customize the amount of point applied by click on the amount from point applied button





4.2 Apply credit


Tap on the Credit button to apply credit. Or, apply the credit via the More actions button

💡Adjust and customize the amount of credit applied by click on the Credit applied button



4.3 Apply voucher


Tap on the Voucher button to check vouchers that customer has redeemed in their account.Or, apply the voucher via the More actions button

Search or tap on the voucher to apply in the cart



**Send voucher to assign voucher to customer account**


Voucher sending option is available under customer’s profile overview (Refer Step 4.3 to access customer overview section).

Once the voucher has been sent to customer, the voucher will appear in the voucher list and can be applied in the cart


Step 5: More actions to modify the cart


Besides from adding item to cart and adding customer, you can click “more action” button to further modify and manage the cart too

The action available to modify the cart:

Save current cart
Remove customer
Invite checkout
Add tax
Add discount
Add voucher
Use point
Use credit
Cart item custom unit price


5.1 Save current cart

You can temporary save current cart and serve next customer. Saved cart can be viewed under More actions button.

5.2 Invite checkout

With invite checkout, you can invite customer that placed order in POS system to checkout online.


Method to invite customer checkout online:

QR code (Customer can scan QR code to checkout online)
Email (Sending checkout link to customer's email)
SMS (Sending checkout link via SMS)
WhatsApp (Sending checkout link via WhatsApp)
Line (Sending checkout link via Line)
Others (Copy the checkout link)

Note: The SMS method will not be available for customers with Malaysian phone numbers due to a recent government policy restricting the inclusion of URLs in SMS messages.

5.3 Cart item custom unit price

You may now customise cart item unit price in the POS.

Step 1: Click on the item at the cart page
Step 2: Click on the "unit price"



Step 3: Adjust the price accordingly at "Override unit price" & click "done"



Step 4: You will be able to see the "Final price" & click "done"




Step 6: Proceed to checkout


Select payment method > Fill in amount received > Print Receipt (Optional) > Add on customer remark(optional) > Mark as paid


4.Schedule shipping or cross-outlet pickup



If you're using POS system to create orders, customers generally pay and pick up the goods on the spot. But what if there's a situation where customers want to pay first, then pick up the goods in other location or need to deliver to the designated place, this is how you do:

Step 1: Go to POS System


a) Login to EasyStore admin panel > Home > click on top of the "Point of Sale"


or

b) Login to EasyStore admin panel > Channels > choose Point of Sale



Step 2: Add new order


Add product into cart and also add existing customer/ new customer & click more actions

If the customer wish to deliver to the designated place, you can choose "Schedule Shipping" ; if they wish to pick up at other location, you can choose "Schedule Pickup".


Choosing "Schedule Shipping" meaning to arrange shipment


3.1 If system have customer's shipping address, it will automatically show at here and you can choose.


If your customer wanted to ship to another address, you can choose "New address". Then fill in the details.



3.2 The POS system will display the main store address and the currently selected store and let you choose which store you want to ship from.



3.3 For Shipping rate, you can choose those shipping method that you've pre-set at EasyStore.


3.4 or you can choose "Custom rate" to create your own shipping rate


Choosing "Schedule Pickup" meaning to arrange a pickup at another location service.



4.1 Fill in the Receiver information and Pickup time


Once you choose the pickup location, it will show this order will be pickup at which location. You can add discount, voucher, point or apply credit before checkout. If there's no discount needed, you may proceed to "Checkout".


Choose payment method


When you check the orders from admin panel, you will see the order is "Paid" and "Unfufilled". Then it can be fulfil later for door-step delivery or store pick-up orders.




5.Receive Deposit or Split Payments in POS



You can let customers pay with more than one payment method for a single order. This gives them more flexibility, creates a better shopping experience, and may help increase order value.

Split payment


For customers who want to pay in full using different payment methods:


2.1 Checkout on POS as usual > select the first payment method


2.2 Enter the first payment amount > tap Continue split payment


2.3 Select the next payment method


2.4 Enter the next payment or balance amount > tap Continue split payment again or once the full amount is received, tap Mark as paid

2.5 Payment completed


Receive deposit and balance


If the customer is paying a deposit:
3.1 Checkout on POS as usual > select the first payment method



3.2 Enter the deposit amount > tap Continue split payment


3.3 Tap Mark as partially paid


When the customer returns to pay the balance:



3.4 Go to POS > Orders > tap into the order


3.5 Tap Continue split payment


3.6 Select the payment method


3.7 Enter the balance amount > once the full amount is received, tap Mark as paid


3.8 Payment completed



6.Before Ending The Day: Close Shift & Cash Out



Close Shift


Step 1: Go to  EasyStore’s admin panel > Channels > Point Of Sale > View Point Of Sale > click on the menu on top left

Step 2: Click in Shift > Close Shift




Step 3: Key in the Actual Closing Cash and put Remark (optional) > Close Shift




Step 4: System will auto-generate the daily Shift Summary, you can choose to Print or save it as PDF for reference.




View the overall shift report summary

Step 1 : Go to  EasyStore’s admin panel > Reports > Shifts



💡Tips: If you wish to check the Shift Summary Details again, just click on the Date/Time to view


Some FAQ that You Should Know


Q: How many people can open & close shifts?


Only 1 person is allowed to open and close the shift. If the shift has been opened by Staff A, Staff B will not be able to open another shift if the shift was opened by staff A. Once the shift has opened, it will remain open until you close the shift.

💡 Tips: Two shifts are not able to exist at the same time.

Q: If Staff A opened the shift in the morning, is it necessary for Staff A to also close the shift?


It's not required for the same staff member who opened the shift in the morning to also close the shift. As long as the staff members are working within their assigned shifts, it's possible for different staff members to open and close the shift.

Q: If I have more than 1 location, then can be different people to open & close shifts?


Yes, the different location allows different staff to open and close shifts. But only one shift can exist for each location.
